Terms of Service

1. The service

FrontDesk AI, a product of Frontage Systems LLC ("we," "us"), provides an AI voice receptionist that answers, transcribes, and responds to phone calls on your business line, plus related features (booking, orders, text/email alerts, and a dashboard). The service runs on your own Twilio and xAI accounts, which you connect and pay for directly — we do not bill you for their usage.

2. Not an emergency service

FrontDesk AI is not a substitute for 911 or any emergency dispatch service. Our "emergency" call routing forwards urgent-sounding calls to your own on-call staff — it does not contact police, fire, medical, or any other emergency responder. You are responsible for making sure your customers and callers know to dial 911 directly for a life-threatening emergency.

3. Billing

The Standard/Pro Setup is a one-time fee for configuration and training, and includes a bundled period of Care Plan service at no extra charge. Setup fees are for services rendered and are generally non-refundable once work has begun; contact us if something isn't right and we'll work with you.

Once your bundled period ends, the Care Plan renews automatically each month at the then-current rate, billed via Stripe, until you cancel. You can cancel anytime from your dashboard's Billing page — cancellation takes effect at the end of the current billing period and stops future charges; it does not refund the current period. We'll email a receipt each time you're billed.

4. Your responsibilities

  • Keeping the information you train the AI on (prices, hours, policies) accurate and current.
  • Complying with call-recording, consent, and telemarketing/SMS laws (e.g. TCPA) that apply to your business and jurisdiction.
  • Securing your own Twilio, xAI, and other connected account credentials.
  • Reviewing call transcripts and alerts — the AI takes messages and routes urgency, but you remain responsible for follow-through with your customers.

5. No warranty / AI limitations

The AI answers only from the information you provide and does its best to route calls correctly, but it can make mistakes, misclassify a call, or fail to reach someone. The service is provided "as is" without warranties of any kind. To the fullest extent permitted by law, FrontDesk AI is not liable for indirect, incidental, or consequential damages arising from use of the service, including missed calls, missed emergencies, or lost business.

6. Limitation of liability

To the fullest extent permitted by law, our total liability to you for any claim arising from or relating to the service — however the claim is framed — is capped at the total fees you paid us in the 12 months before the claim arose (or $500 if you haven't paid us anything yet). This cap applies whether the claim is based on contract, tort, negligence, or any other legal theory, and even if we've been advised the damages were possible.

7. Indemnification

You agree to defend, indemnify, and hold us harmless from any claim, damages, or expense (including reasonable attorneys' fees) arising from: (a) your business's own acts or omissions, including how you or your staff follow up with your customers or callers; (b) the accuracy of the information you train the AI on; (c) your failure to comply with call-recording, consent, telemarketing, or SMS laws applicable to your business; or (d) your violation of these terms. We agree to the same toward you for claims arising from our gross negligence or willful misconduct.

8. Dispute resolution

Most concerns can be resolved by emailing us — please try that first. If a dispute can't be resolved informally within 30 days, it will be settled by binding arbitration administered under the commercial arbitration rules of the American Arbitration Association, conducted in Illinois (or remotely, by agreement), rather than in court. Each of us waives the right to a jury trial and to bring or participate in a class, consolidated, or representative action. Either party may instead bring an individual claim in small claims court if it qualifies. This section survives even if part of it is found unenforceable, in which case the rest still applies.

9. Termination

You may cancel the Care Plan at any time; you keep ownership of your setup and connected accounts regardless. We may suspend the service for accounts that abuse it, don't pay, or violate these terms.

10. Governing law

These terms are governed by the laws of the State of Illinois, without regard to conflict-of-law rules.
