1. What this covers

This policy explains what information FrontDesk AI, a product of Frontage Systems LLC ("we," "us"), collects when a business ("customer," "you") uses our AI receptionist service, and what information is collected from people who call a customer's business line ("callers"). It applies to our dashboard, our website, and the phone/text service itself.

2. Information we collect

  • Account info: your name, email, business name, and login credentials.
  • Call data: call audio, live transcripts, AI-generated summaries, caller phone numbers, and call outcomes (booked, transferred, voicemail, etc.).
  • Business data you provide: services, prices, hours, menus, documents, and website content you upload to train the AI.
  • Contacts: customer/caller names and numbers you save or the AI captures during a call.
  • Payment info: processed directly by Stripe for the one-time setup and optional Care Plan — we do not store full card numbers.
  • Integration credentials: API keys/tokens you connect (Twilio, xAI, etc.) to run the service on your own accounts.

3. Calls are recorded and transcribed

Every call handled by FrontDesk AI is recorded and transcribed so it can be reviewed in the dashboard. Callers hear a spoken notice at the start of the call that it may be recorded. It is the customer's responsibility to comply with the call-recording and consent laws of the states/jurisdictions where they operate — some states require all parties to consent to a recorded call.

4. How we use this information

  • To operate the AI receptionist — answering calls, booking, taking orders, and routing emergencies.
  • To show call history, transcripts, and summaries in your dashboard.
  • To send you alerts (text/email) about calls that need attention.
  • To bill for the setup and any optional Care Plan, via Stripe.
  • To improve the service and diagnose problems.

5. Who we share it with

The service runs on infrastructure and providers you connect directly, and on ours: Twilio (calls/texts), xAI (the voice/AI model), Supabase (database hosting), Stripe (payments), and, if enabled, Resend (email) and Square (orders). Each only receives the data needed to perform its function. We do not sell customer or caller data.

6. Text messaging (SMS) program

FrontDesk AI sends text messages to a business owner (alerts about calls needing attention) and to that business's own customers (appointment/order confirmations), using phone numbers provided directly for this purpose. No mobile information — including text messaging originator opt-in data and consent — is shared with any third parties or affiliates for marketing or promotional purposes. Message frequency varies based on call and order volume. Message and data rates may apply. Reply STOP to opt out of a business's texts at any time, or contact us to be removed.

7. Data retention & security

Call records, transcripts, and account data are retained for as long as your account is active, and are protected by database-level access controls limiting data to your own organization. You can request deletion of your account and associated data at any time (see Contact below).

8. Your rights

You may request access to, correction of, or deletion of your personal information by contacting us. Callers who wish to have their call data removed from a business's account should contact that business directly.
